Draft Safeguarding Policy • Pending Formal Child Welfare Review
This document articulates our institutional protection policies for minor students. Specific designated safeguarding officers and background checking jurisdictions are marked with TODO placeholders and will be confirmed prior to public launch.
Child Safeguarding & Class Recording Policy
1. Our Commitment to Child Protection & Islamic Amanah
Entrusting a child’s Quranic education to an online tutor is a sacred trust (Amanah). At Quran Classes Academy, the emotional, spiritual, and physical safety of every child is our highest organizational priority. We maintain a zero-tolerance policy toward any form of abuse, harassment, neglect, or inappropriate conduct.
Our safeguarding framework aligns with international child protection standards, including the UK Working Together to Safeguard Children guidance and the United Nations Convention on the Rights of the Child (UNCRC).
2. Tutor Recruitment, Vetting & Identity Verification
Every instructor teaching at Quran Classes Academy undergoes a thorough, multi-step vetting procedure before being permitted to teach any student:
- Identity & Legal Verification: Government-issued photo identification and proof of residence are collected and verified.
- Academic & Ijazah Verification: Authentic Quranic recitation licenses (Ijazah) and Islamic studies degrees are authenticated by our Lead Faculty, Sheikh Ahmad Huzaifi.
- Criminal Record & Background Checks: All candidate tutors must provide police character clearance or criminal background verification:
TODO: Formal Background Checking Provider & Jurisdiction Standard (e.g. DBS Enhanced equivalent / National Police Clearance). - Pedagogical & Behavioral Interview: Tutors are interviewed and evaluated for their ability to communicate with young children with patience, gentleness (Rifq), and encouraging pedagogy.
3. Digital Classroom Communication Protocols
To ensure complete transparency and prevent unmonitored one-on-one contact:
- No Private Messaging: Tutors are strictly forbidden from contacting minor students directly via personal WhatsApp, social media, email, or gaming platforms. All lesson scheduling, homework assignments, and notices must be routed through the parent’s contact account or academy administrative channels.
- Dedicated Academy Classrooms: Classes take place only in scheduled, authorized virtual classrooms. Instructors may not hold lessons on unauthorized third-party platforms.
- Open Screen & Open Door Policy: Parents and guardians have the absolute right to be present, listen, or observe any lesson at any time without prior notice to the instructor.
4. Video Modesty (Haya) & Camera Guidelines
We uphold the noble prophetic value of modesty across all virtual interactions:
- Camera Usage Is Entirely Optional: Minor students—particularly sisters and young girls—are never required to have their webcam switched on. Lessons can be conducted effectively with clear audio and interactive screen sharing of the Quran or Qaida text.
- Attire & Background: When cameras are enabled, both students and tutors are required to dress in modest, respectful clothing appropriate for reciting the Holy Quran. Lessons must be conducted in a quiet, shared family room or open study area rather than a secluded bedroom.
- Professional Instructor Environment: Tutors must teach from a dedicated, well-lit, professional workstation with a neutral background free from personal clutter.
5. Class Recording Policy
To protect student identity and family privacy in digital learning:
- No Unauthorized Recording by Academy or Tutors: Neither instructors nor administrative staff are permitted to record live video or audio sessions without prior, explicit written consent from the student’s parent or legal guardian.
- Recordings for Personal Study: If a parent wishes to record a live Tajweed pronunciation correction for the child’s private revision, this must be requested with mutual agreement from the tutor.
- Strict Prohibition on Public Social Media Sharing: Uploading or broadcasting classroom video or audio clips to public platforms (e.g. TikTok, YouTube, Instagram, Facebook) without written consent from all parties is strictly prohibited and constitutes grounds for immediate legal and contractual termination.
6. Designated Safeguarding Lead (DSL) & Reporting Incidents
We take any allegation or suspicion of inappropriate behavior with the utmost seriousness:
Designated Safeguarding Lead (DSL): TODO: Name of Designated Child Welfare Officer
Emergency Safeguarding Email: safeguarding@quranclassesacademy.com
Direct Safeguarding Phone / WhatsApp: TODO: Dedicated Emergency Line for Safeguarding Concerns
Investigation Procedure: Any report or complaint concerning student safety will trigger an immediate administrative review within 24 hours. The involved instructor will be suspended from teaching immediately pending a full investigation. Where appropriate or required by law, incidents will be promptly escalated to relevant child welfare authorities in the student’s country of residence.
